SUDO Payroll processes employee and contractor payroll data on behalf of your employer. This notice describes what we collect, why, and your rights.

Data we collect

• Account data: name, username, email, role
• Payroll data: time entries, hours, rates, pay amounts, job types, client assignments
• Tax settings: employment type, withholding preferences (W2)
• Technical data: session cookies, audit logs of administrative actions

Why we process it

We process this data to run payroll, generate reports, and meet legal record-keeping obligations (typically 7 years for payroll records in the US).

Where data is stored

Data is stored in a MySQL database hosted by DreamHost. Email is sent via your organization’s SMTP provider.

Retention

Payroll and time-entry records are retained for statutory periods. When an account is removed, personal identifiers may be anonymized while payroll history is preserved.

Your rights

Contact your payroll administrator to request access, correction, or erasure of your personal data where applicable law allows.

Cookies & browser storage

SUDO Payroll only uses cookies and storage that are strictly necessary to run the application:

• Session cookie (PHPSESSID) — keeps you logged in securely on the server (typically up to 8 hours of inactivity).
• Session storage — remembers your username and role on this device until you close the browser tab.
• Local storage — stores UI preferences (such as theme) and dismissed notices; no payroll data is cached locally.

We do not use advertising, analytics, or third-party tracking cookies. You must accept essential cookies on the login screen to use the app.
